About the Role

We are currently seeking a dedicated and empathetic Special Needs Service Advocate to join our Family Engagement Center at arenaflex. In this remote, full-time role, you will serve as a primary point of contact and trusted ally for members who may be managing their own special health needs or caring for family members — including children — with complex, chronic, or significant health conditions. This is not a typical customer service position. You will be the voice of compassion, the engine of resolution, and the steady hand that guides families through healthcare systems that are often confusing, overwhelming, and frustrating.

You will own end-to-end resolutions for complex cases, advocate fiercely on behalf of members, connect families to critical community resources, and build lasting relationships built on trust. Key Responsibilities

As a Special Needs Service Advocate at arenaflex, your days will be filled with purpose. Your core responsibilities will include:

  • Provide holistic, end-to-end family support — Serve as the dedicated advocate for members managing special needs for themselves or their family members. Own every case from start to resolution, ensuring no member is ever passed around from one department to another without a clear, compassionate guide walking with them.
  • Deliver compassionate, multi-channel member support — Engage primarily through the phone channel, and also leverage email, chat, and text communication to meet members where they are. Your ability to listen deeply, communicate clearly, and respond with genuine empathy will define the member experience.
  • Build and maintain meaningful relationships — Cultivate trust with both members and teammates. Act as a consistent, reliable point of contact for families throughout their healthcare journey — especially during key transitions such as enrollment changes, care plan updates, diagnosis changes, or benefit appeals.
  • Solve complex problems with creativity and critical thinking — Navigate intricate benefit structures, resolve complex billing and claims issues, manage prior authorization requests, and guide members through the appeals process. Use sound judgment and independent decision-making to fast-track resolutions whenever possible.
  • Proactively anticipate member needs — Go beyond reactive support. Look ahead and identify potential issues before they become crises. Seek out internal and external resources, community programs, and partner organizations that can add unexpected value to the member experience.
  • Manage time and priorities with excellence — Plan, organize, and execute your workload to meet established objectives for the families you serve. Ensure all follow-up calls, outreach work, and documentation are completed in a timely and thorough manner.
  • Serve a diverse range of family needs — Support families across a spectrum of low, moderate, and high-need cases, as determined by clinical needs, financial impacts, and levels of escalation. No two days will look the same, and no two families will have the same story — your flexibility and adaptability are essential.
  • Conduct outreach and initiate contact — Make proactive outreach calls to members who have been referred by internal executives and strategic partners, ensuring every family receives the support and attention they need.
  • Maintain accurate and thorough documentation — Keep precise and up-to-date family records on our documentation platform, ensuring that every interaction, resolution, and commitment is properly tracked and accessible to the broader care team.
  • Champion teamwork and mentorship — Foster a strong, supportive team environment by mentoring colleagues, acting as a resource for your peers, and contributing to a culture of continuous learning and mutual support within the Family Engagement Center.
  • Make appropriate referrals — Identify when a member's needs fall outside your scope and determine the best referral pathways — whether to other arenaflex programs, community services, or external providers — with or without technology guidance.
  • Deliver an exceptional member experience — Strive to achieve high scores on post-contact surveys and positive member feedback. Your work will be measured not just by metrics, but by the real-world impact you have on the lives and well-being of the families you serve.

What You Bring to arenaflex

Essential Qualifications

To be successful in this role, you will need to meet the following baseline requirements:

  • High School Diploma or GED, or equivalent combination of education and relevant work experience.
  • At least one year of professional experience helping, resolving issues for, or advocating on behalf of members or customers in any capacity.
  • Proficiency with standard office technology, including Microsoft Word (creating correspondence and working within document templates), Microsoft Excel (sorting, filtering, and building simple spreadsheets), and Microsoft Outlook (managing email and calendar communications).
  • Ability to commit to a full-time schedule of 40 hours per week, Monday through Friday, from 9:45am – 6:15pm CST. Occasional overtime may be required based on business needs.
  • Must be at least 18 years of age.

Preferred Qualifications

While not required, the following experiences will help you stand out and accelerate your success in this role:

  • One or more years of experience using A4Me (a member management platform), or at least three months of experience with Quick Assist technology.
  • Professional experience in healthcare claims processing, giving you a strong foundation in the language and systems of health insurance.
  • Personal or professional experience providing care for children with special needs — whether as a parent, caregiver, family member, or professional. This lived or professional experience is invaluable in connecting authentically with the families we serve.
  • Experience working in a member-focused healthcare environment, giving you familiarity with healthcare terminology, benefit structures, and member service best practices.
  • Professional background in service delivery roles — including but not limited to social services, caregiving, hospitality, social work, sales, or non-profit organizations. These roles cultivate the empathy, communication skills, and problem-solving abilities that define success at arenaflex.

Training and Development

We invest deeply in your success from day one. When you join arenaflex in this role, you will participate in a comprehensive 18-week paid training program designed to equip you with everything you need to excel. During training, your scheduled hours will be 8:00am – 4:30pm CST, with the final four weeks transitioning to the regular schedule of 9:45am – 6:15pm CST. You will be paid for every hour of training, and you will leave the program feeling confident, prepared, and supported by a team that is invested in your growth.

Work Environment and Remote Requirements

This position offers the flexibility to telecommute from anywhere within the United States, giving you the autonomy to design your workspace and manage your day in a way that works for your life. However, with that flexibility comes responsibility. All telecommuters at arenaflex are required to adhere to our comprehensive Telecommuter Policy, which includes the following requirements:

  • You must have a dedicated workspace that is separate from other living areas in your home, ensuring the privacy and confidentiality required for handling sensitive member information.
  • You must maintain the ability to receive an arenaflex-approved high-speed internet connection at your location, or leverage an existing high-speed internet service that meets our technical standards.
  • You are responsible for keeping all company-sensitive documents and information secure at all times, in compliance with our data privacy and security protocols.
