As a Customer Service Representative – Aftermarket Order & Invoicing Specialist, you will be the trusted liaison between arenaflex’s technical service teams and our global client base. Your meticulous attention to detail will ensure that every part, service, and analytical instrument reaches the customer on time, with flawless billing, thereby reinforcing arenaflex’s reputation for reliability and excellence.

Key Responsibilities

Order Management & Processing

  • Receive, review, and enter customer orders for aftermarket parts, service contracts, and 24/7 technical support, ensuring compliance with internal policies and pricing guidelines.
  • Validate order details, pricing structures, and customer information against contract terms and product catalogs.
  • Coordinate with the Process Analyst team to handle PGI (Post‑Goods Issue) for 24/7 items when service eligibility criteria are met.
  • Maintain up‑to‑date records of all transactions within the SAP ERP environment, guaranteeing data integrity and audit readiness.

Invoicing & Financial Reconciliation

  • Create accurate invoices for all aftermarket transactions, including LTSA (Long‑Term Service Agreements), Bridge, and IX product lines.
  • Reconcile invoices with incoming payments, monitor aging reports, and proactively follow up on outstanding balances.
  • Generate detailed sales, inventory, and performance reports for internal stakeholders and senior management.
  • Identify, investigate, and resolve billing disputes, collaborating with finance, sales, and technical teams to achieve swift resolutions.

Customer Interaction & Support

  • Serve as the primary point of contact for customer inquiries related to orders, invoices, and payment status, delivering prompt and courteous service.
  • Assist customers with portal uploads, ensuring that documentation is correctly filed and accessible.
  • Provide guidance on invoicing procedures, payment terms, and credit policies, helping customers navigate arenaflex’s processes with confidence.

Process Improvement & Collaboration

  • Partner with cross‑functional teams—including sales, engineering, logistics, and finance—to streamline order‑to‑cash workflows.
  • Identify opportunities for automation and efficiency gains within SAP, proposing enhancements that reduce manual effort and error rates.
  • Participate in continuous‑improvement initiatives, sharing best practices and contributing to the development of standard operating procedures.

Essential Qualifications & Experience

  • Minimum of 2 years of hands‑on experience in order processing, invoicing, or a closely related function within a manufacturing or technology environment.
  • Demonstrated proficiency with ERP systems, preferably SAP, and a solid understanding of its financial and logistics modules.
  • Working knowledge of fundamental accounting principles, including accounts receivable, revenue recognition, and reconciliation techniques.
  • Experience using Customer Relationship Management (CRM) tools to track interactions and maintain accurate customer records.
  • Proficiency in Google Workspace (Docs, Sheets, Slides) for reporting, data analysis, and collaborative communication.
  • Strong written and verbal communication skills, with the ability to convey complex information clearly to internal teams and external customers.
  • Exceptional attention to detail, ensuring high‑accuracy data entry and error‑free documentation.
  • Effective time‑management and organizational abilities, capable of juggling multiple priorities in a fast‑paced environment.

  • Experience in handling high‑value technical equipment invoicing, such as analytical instruments or specialized monitoring devices.
